Fast track to Swiss precision

A Swiss customer now manages projects, resources and contracts using up to date information and dependencies.

The challenge…

The client used a collection of different Excel files to capture and process data for project controlling including resource and contract management. All information had to be entered and updated manually in several different documents.

Since redundant data had to be captured in different documents the risk of inconsistencies and even loss of data was substantial.

The solution…

Since BeeCore was already in use by another department it was possible to create a solution using a very short implementation phase. After only five days the requirements were implemented, the existing data migrated from Excel to BeeCore, the users instructed and the system in production use.

Three central object types were created in BeeCore to structure the information: “Employee”, “Contract” and “Project”. The object types were connected using relations. The object type “Project” was also split into project phases. With these object relations our customer can now access the existing information not just from a contract view but also by employee, project or even by project phase.

Using the BeeCore – MS Excel integration the existing workflow could be left with only minimal change. The existing Excel sheet, that controlling issued to external contractors for monthly time reporting, could be kept. The Excel sheet was only modified to allow the time reported to be imported to BeeCore using the BeeCore Excel Plug-In. Using BeeCore controlling is now able to easily monitor the work delivered and time reported by all contractors.

Additionally the hours reported by internal employees are imported to BeeCore from SAP using the BeeCore Excel Plug-In. This allows project controlling to do planning based on all actual hours. As a result an up-to-date plan-to-actual comparison can be generated at any time – with Swiss precision!
